Receptionist Job ID 242202 Posted 08-Oct-2025 Service line Advisory Segment Role type Full-time Areas of Interest Administrative Location(s) Houston - Texas - United States of America **About the Role:** The purpose of this position is to provide administrative support to office location. The responsibilities will include but are limited to overseeing the reception and lobby area, employee inquiries, greets visitors, vendor and contractor relations, customer inquiries, maintain multiple phone lines, restock kitchens and restrooms, organize conference rooms, process expense reports, enter checks, scan insurance certificates and support office administration and management team. **What You'll Do:** + Performs general clerical duties associated with distributing and logging priority packages and mail, scan priority documents to recipients, update phone directories, receives and directs incoming calls, meters mail and adds postage, schedules courier services as needed and screens inbound deliveries. + Greets clients, applicants, and visitors. Oversees compliance guest registration. May escort visitors as needed. Issues visitor security badges and tracks security log. + Assist with new hire onboarding processes to include parking application, security access badge access into suite and prepare welcome gifts. + Assists with meeting preparations. Maintains conference room aesthetics and ensures the space is in good operating condition. Supports meeting organizer with video and web conference setup. + Coordinates catering for meetings and events. May negotiate pricing and menus. Secures approvals for catering expenses, reviews invoices and allocates expenses to proper business units. + Performs office administration duties associated with check assignments, state licensing, participates in special projects as needed. Supports office management with annual conference registration. Coordinates special events and receptions. Ensures audited documentation is in good standing for internal and external reviews and audits. + Orders office supplies and other common use items for the location to include kitchen and printer supplies, oversees inventory, shipping supplies and postage machine, maintains the aesthetics in copier and supply rooms. Submits service tickets and tracks and provides repair status updates in a timely manner. + Maintains professional office aesthetics of the reception, lobby, conference rooms, kitchens, and other shared areas. Submits service tickets for suite and housekeeping services as needed. + May arrange hospitality services for guests such as transportation and reservations. + Performs other duties as assigned. **What You'll Need:** + HS Diploma or GED required. + Prior Front Desk, Concierge, customer service or other hospitality experience preferred. + Ability to write routine reports and correspondence. + Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor with a strong, professional customer service orientation. + Ability to calculate simple figures such as percentages. + Intermediate skills with Microsoft Office Suite. Ability to work flexible work schedules based on office needs.
