POSITION SUMMARY: This position coordinates, communicates, and provides support to all activities for the Superintendent and Board of Education. The duties may include, but are not limited to, utilizing extreme discretion in all matters, maintaining confidentiality, meeting preparation, transcribing notes, website maintenance, typing correspondence, calendaring, arranging travel, and purchase orders/requisitions. Develop and promote good community relations among stakeholders.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Board of Education - Attend all Board meetings and work sessions.
- Contact and follow up with the presenters for Board meetings.
- Prepare agenda and supporting documents for Board meetings.
- Prepare materials, including awards, for Board meetings.
- Provide public and legal notice of all meetings for the Board of Education.
- Record minutes at all Board meetings to write up for approval at the next meeting.
- Maintain an electronic policy manual in Diligent.
- Collaborate with the Policy Coordinator to ensure policies are updated for BOE approval.
- Send and update calendar invitations to Board members for events.
- Act as the Designated Election Officer for Englewood Schools.
- Lead and organize all aspects of Board elections for Englewood Schools.
Superintendent and Executive Support - Maintain and/or coordinate the Superintendent's and/or designee's electronic calendars.
- Schedule travel and accommodations for the Superintendent and/or designee.
- Create/update a working draft of the Board agenda in collaboration with the Superintendent.
- Process/draft expulsion paperwork, schedule meetings, and maintain suspension and expulsion databases.
- Establish rapport with students, staff, and parents that promote a proactive response to potential challenges.
Communication and Information Management - Communicate instructions, policies, and procedures using a variety of methods.
- Update the district/department website with requested information.
- Submit monthly updates for the Board of Education in To The Point (internal staff newsletter) and Family District Newsletter.
Event and Meeting Coordination - Material preparation for retreats and meetings.
- Actively participate in team meetings and job-related trainings.
Customer Service - Provide excellent customer service to all stakeholders.
Professional Responsibilities - Apply and implement knowledge, skills, and new understandings to support the system and processes.
Other Duties - Perform other related duties as assigned or requested.
SUPERVISION/TECHNICAL RESPONSIBILITIES: None
BUDGET AND/OR RESOURCE RESPONSIBILITIES: Process purchase requisitions. Reconcile purchase card statements. Maintain and order supplies. Maintain and submit mileage reimbursement requests (if needed).

ESSENTIAL PHYSICAL REQUIREMENTS: Frequent lifting 5 (five) to 10 (ten) pounds. Occasional lifting of up to fifty (50) pounds. Frequent sitting, bending, walking, and standing. Occasional stooping, kneeling, squatting, and reaching. Eye/hand coordination (e.g., typing, ten key). Concentrated reading/writing/mathematics. Visual concentration on equipment.
WORK ENVIRONMENT: The noise level in the work environment is usually quiet. Mostly clean and comfortable.
REPORTS TO: Superintendent or designee.
LOCATION: Roscoe Davidson Administration Building.
SALARY: Starting hourly rate $26.20 - $29.65 per hour, depending on education and related experience.
ADDITIONAL INFORMATION: New hires or rehires will be responsible for the fingerprint processing fee required for background checks through the Colorado Bureau of Investigation.
